Wehmeyer simplifies and digitalises its invoice workflow

The project in collaboration with the planning office WEHMEYER aims to optimise internal administrative processes through digitalisation and automation. mesakumo provides a comprehensive overview of the common M365 tools and is implementing the first use case: the automated checking of incoming invoices.

Initial situation

WEHMEYER Planungsgesellschaft mbH undertakes ambitious construction projects for businesses, the public sector and private individuals. Alongside planning and execution, there are many administrative tasks such as HR, marketing and accounting. These bureaucratic processes consume valuable resources which can be saved through automation, leaving more time for projects.

Solution

In a joint workshop with Tobias Kassenbeck, Commercial Director at WEHMEYER, mesakumo presented the common Microsoft 365 tools – including SharePoint, Microsoft Lists, Power Automate, Planner, OneNote and Loop.

Subsequently, a specific use case with automation potential was identified and various solution scenarios were developed: the previously manual process of incoming invoice verification is to be standardised. Implementation was carried out by Mr Kassenbeck, with mesakumo providing support for any technical or methodological queries.

A digital form containing mandatory fields is being developed using Microsoft Lists to simplify the recording of incoming invoices. A Power Automate flow ensures automatic forwarding to the accounts department, including all necessary information. Finally, the new process will be presented to the WEHMEYER team and seamlessly integrated into their daily work routine.

Result

A digitised and standardised process for incoming invoice verification ensures faster processing, fewer errors and a reduction in queries, thereby relieving employees of routine tasks.
